Covenant Information

WHY THE CAMPING & PROJECT SERVE PARTICIPATION COVENANTS?
We understand your aspiration toward excellent stewardship of God’s resources; those currently under the control of your local chapter and those under the control of YFC-USA.  With stewardship in mind, it is essential for YFC Camp to make commitments to properties and vendors as much as a year in advance.  This helps to ensure quality and leverages economies of scale, both of which result in more students having the opportunity to experience the love of Jesus.  YFC Camp is a collaborative ministry which simply cannot, should not, and will not function without the strong commitment and partnership of local chapters.  Participation Covenants allow us to enter into contracts and make commitments while helping to ensure the long-term sustainability of a national camping ministry. Without the appropriate number of Project Serve team members, it impacts our ability to provide the best YFC Camp experience possible. It also affects our ability to provide the best Project Serve experience possible due to increased workloads when understaffed. 

WHAT ARE WE COMMITTING TO?

  • For Camping Groups
    • Confirming your covenanted number of campers/leaders by February 15, 2022. 
    • Paying the initial deposit of $100 per person on the lowest number of campers/leaders listed on your covenant by March 15, 2022. 
    • Paying the "middle payment" per person on the lowest number of camper/leaders listed on your covenant. The amount and timing of the middle payment varies based on the timing of each camp and whether it is a high school or middle school camp. Please refer to the YFC Camp website (www.camp.yfc.net/registration) for complete registration policies and processes.
    • Adhering to the registration policy throughout the entire camping season with your low covenant number at a minimum. For your benefit, a "Grace Policy" is included in the registration policies and processes. The details for this can also be found at www.camp.yfc.net/registration
  • For Project Serve Groups
    • Confirming your covenanted number of Project Serve participants by March 15, 2022. 
    • Paying the deposit of $100 per person on the lowest number listed on your covenant on or before the PS deposit deadline of April 15, 2022. 
    • Adhering to the registration policy throughout the entire camping season with your low covenant number at a minimum. For your benefit a "Grace Policy" is included in teh registration policies and processes. The details can be found at www.camp.yfc.net/registration.

REQUEST FORM:

  • Request Forms will be available around August 15
  • CAMPING GROUPS:
    • Indicate your first and second choices for your HS and MS camps
    • Give us your total camper/leader number for each week. Your numbers should reflect the total number of people (campers and leaders) in your group. It also should reflect your entire chapter's/launch chapter's number, not each specific ministry area within your chapter/launch chapter.
    • Please list a range of no more than 20. (Ex: 20-40 or 30-50 etc). The lowest number in the range should be what you feel is your realistic number and the highest number in the range should be what you are hopeful for.
    • The lowest number will be what you pay deposits on in March and at the least, expected to bring to camp.
  • PROJECT SERVE AT CAMP GROUPS:
    • If you are bringing a camping group of 20 or more people to camp, it is expected that you also bring a Project Serve group to a camp. If this is your very first year bringing a camping group, a 1-2 year grace period is allowed. You can bring the PS group to the camp you are attending with campers or another week. 
    • On the Request Form: Indicate your first and second choices (or multiple locations) for your group
    • Please keep the following in mind when calculating your PS group number:
      • Bring at least 1 PS member for every 10 in your camping group.
      • Bring 1 PS ADULT for every 5 PS participants. Think of your adults as “Cabin Leaders” – adults who have relationships with the PS participants you are bringing (i.e. someone who can lead them well).
      • You will also need a Trip Leader for your PS group to coordinate with the PS leadership
      • Project Serve groups need to plan to arrive at camp the day before camping groups arrive and plan for departure from camp after camping groups leave. 

COVENANT PRIORITY:
Priority is given in order that covenants are received for both camping and Project Serve groups. Some camps have limited space for both campers and Project Serve teams. We do our best to accommodate your first choice, but YFC Camp reserves the right to move your group to your second choice based on space available and total numbers. 

TIMELINE: 

  • AUGUST  15TH – CAMP OFFERINGS PUBLISHED. 
    • The Camping department publishes a list of all possible camp locations and dates to the YFC field. 
  • SEPTEMBER 15TH – CAMP REQUEST FORM DUE.
    • Local chapters/launch chapters/groups turn in a “request form” indicating their 1st and 2nd choice for camping properties along with estimated camper/leader #’s.  Also, included are school dates for the year and any other “off-limit” weeks in the summer due to other chapter commitments.
  • OCTOBER 5TH – COVENANT PROPOSAL ISSUED. 
    • The Camping department sends each chapter/launch chapter/group a “proposal” for what camp location and estimated numbers they are being offered.  Also at this time the per person pricing will be published.
  • OCTOBER 19TH – COVENANT ACCEPTANCE AND SIGNATURE DUE.
    • The local chapter/launch chapter/group considers the location/dates/pricing and allowed #’s and signs and returns the proposal by this date.  If the proposal is not accepted, this is also indicated.
